Implementing a process that submits clean claims leads to one of the most significant redutions in days in AR.

If claims are submitted clean the first time, then the highest possible percentage will be paid after the first submission. Having an intelligent, powerful, and fully integrated scrubbing system is the best way to leave a small number of actual issues for the billing staff to pursue. Eliminating avoidable errors, collections will accelerate and increase. The Encoda Back Office scrubber, which is flly integrated with feedback system intothe Claims Manager and Exceptions Manager™ will clamp down on all of the errors you know abou and dscover may ore you don’t know about. Similar words are used to describ the scrubbers in many billing systems which lack the power and feedback of the Encoda solution.

The Scrubbers features include:

A demographic scrubber. Such a scrubber insures that the basic elements of the claims are in place (for example, a 9 digit social security number that is not composed of repeating numbers, a valid date of birth, etc)

Coding and Diagnosis Scrubber. This scrubber looks for ICD-9/CPT mismatches based upon Medicare and CCI rules. The rules not only identify sources of denials, but also identify overlooked CPTs.

Payer specific edit which vary amoung insurance companies.

Re-ordering of claims based on client specified / approved rule sets to allow for the maximum re-imburstment for your practice.

Practice specific rules, easily implemented and maintained by our EDI team.

The Encoda Back Office Scrubber is a Knowledge Management Scrubber that allow the medical billing operation to continually reevaluate thier practice related adjudication rules and combines them with the power of the payer rules which are updated by Encoda as the payer relase the edits. Any proper implementation of a powerful scrubber requires a clear feedback loop to the Exceptions Manager™ system. This type of scrubbing has traditionally been left to external non-integrated systems. Now Encoda brings that power to the biller’s fingertips.

Medical Practices will see a significant improvement in both the speed and the magnitude of collections if they use the Encod Back Office Scrubber. With all of the technology payers employ to minimize the amount they pay to providers, The Encoda Scrubber is a powerful tool to turn the tide in the Practice’s favor.

Philadelphia, PA – Encoda, LLC announced today that it will be converting ROHNA from its Medical Manager/Encoda integration to its Greenway PrimeSuite/Encoda integration.

Joshua Zissman, COO of ROHNA, the largest ENT practice in South New Jersey, said, “Given the double digit benefits of using Encoda M/EDI™ and M/IG™ these last two years we knew we could not consider any billing system that did not have an Encoda integration. Encoda agreed to integrate with any system we chose. Our 13 doctors and support staff looked at three different systems. Of the three we looked at we liked Greenway the most. And it happened to be a system they were already integrating with. Because the back office functions are automated by Encoda in both cases, both systems will look alike to the back office and we can concentrate our training on the doctors and the front desks.”

“We are very excited about this,” stated Robert Lee, President of Encoda. “This represents the first time we have migrated a client from one billing system integrated with the M/EDI Suite™ to another. Because our system takes the place of all the back office functions of any billing system it is integrated with (including the business intelligence platform) the conversion should be absolutely seamless. Stay tuned!”

About Encoda

Headquartered just outside Philadelphia, Pennsylvania, Encoda is a software development company that concentrates on automating procedures for large medical practices. It markets its two patent-pending signature products.

Encoda M/EDI Suite™ is a suite of patent-pending billing system enhancements that bolts on to your existing billing system, automating and enabling a free-of-charge direct hookup to your major payers, integration of all their data with yours, a redefining of how denial management and claims appeals work, all of it resulting in dramatic financial gain for the provider.

Encoda M/IG™ is a patent-pending business intelligence data warehouse that bolts on to your existing billing system that finally gives you actionable information, aggregating virtually limitless amounts of data into patterns of behavior that can be addressed with payers one issue at a time, rather than one claim at a time.

Encoda also represents Greenway Medical Technologies’ PrimeSuite truly integrated PMS/EMR solutions and recommends Greenway for those clients who need a whole new system.

Philadelphia, PA – Encoda announced today that Intensivist Billing, a national critical care billing and physician services company based in Pittsburgh, has chosen Encoda’s entire suite of products and services, including the Encoda patent-pending claims and exception management solution — M/EDI™; Encoda’s data warehouse and business analytic platform — M/EDI Information Generator™; and Encoda’s TIER-1 Hosting Service (which has not been down since 1996).

When contacted Connie Carey, Director of Billing, said, “We were really at the end of our rope. Whether it was billing or running reports, everything of any value we did in our existing PMS involved agonizing processes. We really couldn’t even measure the efficacy of our efforts without a huge amount of work. We had grown to a size from which we could neither grow further economically nor offer the same high level of service to the additional clients such growth would bring us.

“We even considered the incredibly expensive alternative of changing billing systems. But when we looked at other billing systems they all did pretty much what our system did.

“Then we heard about Encoda. We don’t have to get a new system or hire more people and we don’t need more billing system licenses. Encoda’s system bolts on to our existing billing system and appears to our billing system as only one user even though it can do an unlimited amount of work. It is both the system that runs the system and a super user. It makes our existing system do what it should have been doing all along.

“The first thing Encoda did was install their business intelligence and reporting tool. Last night was the end of the month. This morning the most incredible and sophisticated suite of reports was on my Intranet portal when I came in. That used to take us two calendar weeks and many hours of labor before. We would have to run reports and then use them to create Excel spreadsheets and then massage those and send those to our clients. It was a bloody nightmare. For several weeks their nightly automation programs have been doing various tasks we used to do using people. No more. Everything is automatic.

“And they have absolutely the best support we have ever had. When I am working on weekends so are they. When I am working at night, so are they. When I call I get people, not recordings. When we need them they are there. I know this sounds like an ad. But it is the truth. Thank you, thank you, Encoda.”

Robert Lee, President of Encoda, said, “We welcome Intensivist Billing into our growing community of clients. What we know is a result of serious and intimate collaboration with our clients. It is a two way street. The next step for Intensivist Billing is to port them over to our totally automated direct-to-payer transaction system, called M/EDI™. Not only will it reduce claims turnaround time significantly but it will enable them to use our single screen, paperless M/EDI™ Exception Management System which actually writes corrections back to their billing system and can fix hundreds of errors just by fixing one. It is not just a traditional denial system which comes into play at the time of the EOB. It captures every wrinkle at every step of the way. It even knows when things that should have happened did not happen.

“The billing processes that every billing system in existence today model are the mom and pop processes of the 1970’s, gussied up with electronic cake decoration. It does not matter what system you have. They are all the same when it comes to billing and analysis. Only the price tags are different. Oddly, when it comes to reporting the cheaper systems are better than the larger systems. The biggest practices have the clunkiest software. The two largest systems sold in the United States today were actually written before the invention of the relational database. You can’t fix that inside. These companies would have to swear off selling systems for five years, throw everything out and start all over again. The only economical thing you can do with these systems is write programs to drive them.

“Once Intensivist Billing has M/EDI™ rolling they should be able to increase their business by leaps and bounds with only minimal increases in expenses as well as offer their clients unparalleled turnaround times, liquidation ratios, and actionable information. In the first 20 months our initial client, a large pediatric practice, increased their revenue per physician by 30% and redeployed 40 FTE’s in their CBO. That client actually got a $1.6 million payer settlement using our information. Total improvement to this practice after 20 months was $40 million.

“Everyone claims to do what we do. But nobody does. RCM, management by exception, queues, X12, ANSI, integration—they are all buzz words. Clearing houses even claim to do what we do. How could they? By their very nature they can’t. It is all explained on our website.”

About Encoda

Developed in strict conformance to ANSI X12 specifications, this solution enables medical delivery units to keep their existing billing systems but handle virtually unlimited amounts of billing data with perfect accuracy and economies of scale; to bypass clearing houses and legacy appeals processes; and create merged actionable information from the data in their practice management system and their payers systems.

PrimeSuite Practice ~ 2009 Best in KLAS ~ Practice Management – 6 to 25 physicians

December 16, 2009, Carrollton, Ga. – Greenway Medical Technologies, Inc. today announced that its fully integrated, single-database electronic health record (EHR), practice management and interoperability solution, PrimeSuite® 2011, won three “Best in KLAS” awards in the annual 2009 Top 20 Best in KLAS Awards: Software & Professional Services report.

For practices having between six and 25 physicians, PrimeSuite Chart was named Best in KLAS in ambulatory EMR for the fourth consecutive year and PrimeSuite Practice in practice management for the second consecutive year. PrimeSuite Chart was also named Best in KLAS in ambulatory EMR for the second consecutive year for practices having between two and five physicians.

Overall, Greenway Medical Technologies has received Best in KLAS awards in all three categories for two consecutive years.

To reach its awards conclusions, KLAS surveys hospital and clinic executives, administrators, physicians, nurses, and other directors and managers with business responsibilities regarding their experience with health information technology. KLAS routinely surveys approximately 5,000 hospitals and nearly 3,000 ambulatory organizations annually.

“People ask me why Greenway keeps leading in the KLAS arena, and I firmly believe it has to do with our road map for success that we implement with each customer and the usability of our innovative PrimeSuite 2011 service. This recognition continues to prove that Greenway ensures the happiness and success of its customer base and that we have the most usable integrated ambulatory EHR solution in the healthcare industry,” said Greenway President Tee Green. “We appreciate the diligence KLAS brings to its annual rankings, and these three Best in KLAS awards culminate an important year for Greenway and its more than 22,000 healthcare provider customer base as PrimeSuite 2011 also just became one of the first EHRs to receive pre-market conditional CCHIT Certified® 2011 Comprehensive certification.”

On December 8th, PrimeSuite 2011 earned CCHIT Certified® 2011 Ambulatory EHR status with additional certification for Child Health and Cardiovascular Medicine with optional Advanced Reporting, in the Certification Commission for Health Information Technology (CCHIT), Comprehensive certification program. During the Comprehensive certification evaluation, PrimeSuite 2011 exceeded the requirements of the majority of 27 proposed federal interoperability, privacy and security standards which support achievement of meaningful use.

KLAS ratings are based on a set of 25 key questions in the areas of sales and contracting, implementation and training, functionality and upgrades, service and support, and general scoring.

“For more than a decade, the Best in KLAS awards have recognized healthcare technology companies that set the standard for delivering the best experience to providers,” said KLAS President Adam Gale. “The Best in KLAS distinction honors more than just a good product or service. It represents a commitment to meeting customer expectations in every phase of the buying process – from the sales presentation to implementation to ongoing service and support.”

December 14, 2009, Carrollton, Ga. – Greenway Medical Technologies, Inc. today announced that its flagship integrated EHR, PrimeSuite® 2011, is a pre-market conditionally CCHIT Certified® 2011 Ambulatory EHR, additionally certified for Child Health and Cardiovascular Medicine, with optional Advanced Reporting. Greenway’s PrimeSuite 2011 achieved the higher level of two new 2011 certification designations offered by the Certification Commission for Health Information Technology (CCHIT®).

The CCHIT Certified 2011 Comprehensive program is differentiated from the Preliminary ARRA program by providing a rigorous, multi-faceted evaluation of integrated EHR functionality, interoperability and security. In addition, the products that achieve the Comprehensive level must also meet or exceed applicable proposed federal standards as they exist on the date of certification for certified EHR technology to support the 2011-2012 incentives under the American Recovery and Reinvestment Act of 2009 (ARRA). During the Comprehensive certification inspection, Greenway’s PrimeSuite 2011 met or exceeded proposed federal interoperability, privacy and security standards which support achievement of meaningful use.

Greenway’s 5-star usability rating is also the highest achievable designation within Comprehensive certification, which the Commission states is “intended to serve healthcare providers looking for maximal assurance that the product will meet their complex needs, as well as support their achievement of meaningful use to qualify for financial incentives.”

The Certification Commission for Health Information Technology (CCHIT) is an independent, 501(c)3 nonprofit organization that has been recognized by the U.S. Department of Health and Human Services since 2006 as an official certification body for electronic health records (EHR).

Achieving meaningful EHR use is an essential component in qualifying for the estimated $45 billion in certified EHR adoption incentives provided by the HITECH Act of ARRA. The HITECH Act provides up to $44,000 to eligible professionals under Medicare and $63,750 under Medicaid during respective five and six-year periods beginning in 2011.

“The incentives have the potential to accelerate adoption of EHR technology by office-based physicians and other eligible providers,” said Alisa Ray, the Commission’s executive director. “Health IT companies demonstrating their compliance with the proposed federal standards can now make available certified products to providers who wish to purchase and implement EHR technology and achieve meaningful use in time for the 2011-2012 incentives. Additionally, EHRs certified in the Comprehensive programs offer providers more assurance that an EHR will meet their needs.”

Computerized physician order entry (CPOE), formulary checks, e-prescribing, patient reminders, encounter progress notes, clinical summaries and the ability to provide lab results and surveillance data to public health agencies are some specific examples of meaningful use criteria.

“Greenway is pleased to be among the first to receive CCHIT 2011 Comprehensive certification as well as one of the first EHR products in the marketplace to achieve the highest 5-star usability rating,” said Greenway President Tee Green. “Since our inception more than a decade ago, Greenway has been an industry leader in creating the most usable, interoperable and functional EHR in healthcare. We help to ensure the success of our customers by providing not only a certified EHR that can be meaningfully used, but more importantly, by providing an innovative, long-term business plan for practices and customers to optimize their revenue, seamlessly interoperate with their communities, manage their patients more efficiently and participate in the latest clinical trials and research.”

Encoda’s Back Office Claims Manager swaps files directly with your payers, avoids the costly manumation and third party layers that practices typically rely on, while realizing the true intention of automation…

Using the HIPAA mandated X12 standardxs , Back Office Claims Manager works 24/7, preparing and sending your practices’ claim files directly to payers, while capturing and reacting automatically to all primary and intermediate X12 payer responses—right through to the explanation of benefits and electronic funds transfer to your practice.

Encoda’s Claims Manager also finds those claims that fall through the cracks, or with which a payer has an issue, and system works to process those claims until acceptance.

The offending claim is put into the paperless Exception Management Work Queue while all of the good claims continue to be automatically processed.

Encoda’s Claims Manager makes your claims management process more practical and profitable for your medical practice.

Encoda’s Claims Manager writes back to your billing system. No other system does that. Your users have the information from the insurance companies and the information from your practice management system in a single screen.

In our most recent client they have reduced the number of FTE’s handling insurance billing, including exception management and secondary billing, to one FTE per 10 doctors. That is 0.1 FTE’s per doctor. In our first client, billing only half the payors, the system allowed the repurposing of over 40 CBO workers. The ROI for this client was over 1,500%. The client increased their provider base by 50% and their revenues by nearly 90%.

Talk to us today to find out if the Encoda Back Office Suite can benefit you.
